Downloading electronic client information directly from your insurance carrier or through your IVANS account.

 

 

Click the Download/Bridge option on the top menu bar.  Select Run Download Session. 

 

TIP:  Run a download session on a daily basis and process your client information into InsurancePro.  This insures that you will  have the most current information in  View/Edit Details in your clients Policy Summary area.

 

 

 

Click Yes, if you want to see the list of client information that was downloaded and/or would like to proceed to upload the information into InsurancePro.  Click No and you will be able to process it at a later time.

 

 

 

 

Download Folder shows the folder where the downloaded information is stored, proceed by clicking on OK.

 

 

 

The system prompts you it is finished pulling the data from the AI Download Folder, click OK to complete the process.

 

 

 

 

NOTE:  You will see a list of Transactions populated in the Download Transaction screen. You can review the files by: Transaction, Client, Type of policy, Policy #, and Company.   A checkmark must be in the box in front of the Date field in order to proceed with any changes to be made such as: Delete Selected or Upload Selected into InsurancePro. 

 

The Auto Select button is an option to have the system automatically check for clients that are already in InsurancePro.  When you click Auto Select the system will search for a policy number and/or then look by name/address.  If it finds the policy it will put a check in the box beside the client name. Then you would process all items with checked boxes by selecting the Upload Selected into InsurancePro button.  If the program does not find the customer it will not check the box.  You will need to determine if you want to upload an unchecked client into your database and then manually check the box. 

 

TIP:  The Auto Select function gives you control over making sure you want to add the downloaded client.  If you have a client already in InsurancePro but do not have a policy number in that client and it does not find the client and check them off, it may be due to the name not matching up correctly.

 

 

 

 

To upload the client into InsurancePro, make sure the box is checked in front of that client and click Upload Selected into InsurancePro.  You will receive a message that lists the number of transactions that were transferred depending on how many boxes you had checked and that it was successful, click OK.

 

The Delete Selected button will remove any clients that you do not want to upload into InsurancePro if the box has a checkmark in front of that client.

 

 

 

 

You may choose to review your client list by a selected date range.  Click on the dropdown boxes in the Choose Dates to View: area to choose your date range. Then click on the Refresh button to the right of the date fields.

 

TIP: When you have not done a daily download session and are downloading multiple days at once, this feature allows you to view the downloaded information by a selected date range and find specific policy changes or renewals.  Again we recommend that you run your download session on a daily basis to avoid confusion when you have multiple transactions coming through on a particular customer or policy type.

 

 

 

 

Add from File allows you to browse your system and pull into the Download Transactions list any clients you have stored in the AI Download Folder or from any temporary file.

 

 

Download Now lets you run another download session to pull your information from your IVANS account or from insurance carriers that participate in a direct transfer of client information. This is similar to the Download/Bridge /Run Download Session process.

 

 

 

View Log opens Notepad and displays a detailed list of the client information that is being transferred into InsurancePro.

 

 

 NOTE: This information also includes coded data that the system uses to process the information.  You may use this as a list to track or check off which clients were updated. 

 

**To modify the layout of this information to allow you to read this line by line, click on the Format menu option at the top of the screen and uncheck Word Wrap.
