 Find existing Client/Policy

 

 

To search for a client already stored in InsurancePro database, choose “Find existing clients” from the main menu.

 

 

You can look up a policy in many different ways from this screen. Make sure you enter ONLY either the first name or the last name of the person you are trying to find, rather than the full name. It makes the search easier. You can choose to search the client by Policy Number or the Company Name also. You also have the option to sort by different fields, display policies written between specific dates, and choose the type of policies you would like to see.

 

The more information you will provide, the more restricted the search would be. You can look for a client by First or Last Name, Policy number, Company, date the policy was written on, Policy Type and son on. When you click on “Search”, InsurancePro will bring up all matching results. Only partial information is necessary to pull up the client. Therefore if you are ever unsure about the spelling of the name just enter a partial name and hit search.

 

There are four states of a policy in InsurancePro. A policy might be one of the following:

 

Active:      This means that the Insurance policy is currently enforced.

Cancelled:  This means that the company canceled the Insurance policy before its term expired.

Expired:     This means that the Insured kept his policy for the entirety of its term, but did not renew his or her insurance.

Quote:       InsurancePro also allows you to save quotations for potential customers. Quote status means that the potential client was already given a quote.

Prospect:  InsurancePro also allows you to save quotations for potential customers. Prospect status means that the potential client has not been quoted as yet.

All:            Select this option to search through all clients, regardless of their policy status. This is the default search option.

 

InsurancePro also has the following policy Status:

  • Renewal

  • Reinstate

  • Rewrite

 

To search any of these policy types, use the "Active" Option.

 

InsurancePro keeps all the information for clients in any of the above category until you delete them. You can choose which category in which you want to search a client. Sometimes, if you cannot find a client in the active category, you might want to double check in the Expired or Cancelled category, or choose all.

 

InsurancePro also allows you to sort your search according to the following:

  • Client Name - Sorts by Client's First Name or Business Name for commercial policies

  • Last Name - Sorts by Client's Last Name or Business Name for commercial policies

  • Effective Date - Sorts by Policy's Effective Date

  • Policy Type - Sorts by the Policy Type

  • Company - Sorts by Insurance Company Name

  • File Number - Sorts by the file Number

 

Single clicking on the client will give you further details about the policy towards the bottom of the list. When you have found the client that you were looking for you can pull up detailed information person simply by double clicking on the name of the client, or pressing the “Select” button.

 

After selecting a client, you can view any and all kinds of information about the client. You can view their policy coverage details, their premium details, their payment history, endorsements history and much more. You can also enter new information, like new endorsements done, receive a payment or post a reminder, or you can edit existing information.

Note: 

InsurancePro creates individual entries to store information about EACH policy, i.e., individual entries are created for each policy, rather than each client. This means that if a client has both Auto and Home Owner policy, then there will be two separate entries in InsurancePro for the same client, one for his Auto policy, and one for his Home Owner policy. The advantage of storing information this way is that the payment history, notes, ACORD forms, and other information about the two policies are separate from each other. However, there is a link between the two policies in InsurancePro, as they belong to the same client. Similarly, policies in different status will also have duplicate entries. For example, a client might have an older policy that has expired, and a current one which is active. InsurancePro will have two entries, one for the old policy in the expired section, and one for the current one in the renewed section. So when you look for a client, make sure that you choose the correct policy.
