  Daily Transaction Report

Overview

InsurancePro provides the capability to view and print detailed reports for all your agency transactions. You can generate reports for payments received and checks written. Reports can also be generated for new business written, policies renewed or cancelled, or even for policies coming up for renewal.

To access the Transactions Report screen, select “Daily Transactions Report” from the main menu of Insurance Pro.

For any kind of report, you can choose to either view the details for a specific day, or for a period of several days. To view a report for a specific day, choose the “Day Report” option. This will allow you to view the report for a single day, which can be chosen. To view a report for a period of time, choose the “Period Report” option.  This will allow you to choose a start date and an end date, and then a report can be generated for this period. Once you have chosen the dates, you can click on any of the report button to view the report.

NOTE: After choosing the dates, you need to press the report button that you wish to generate. Also, if you choose any of the options to change the report (for example change the sort order or view selected type of policies), you need to press the green report button to view the updated report.

Payments Report

Payments report summarizes the payments received from clients. It will list the transactions entered in InsurancePro for the given day or period, showing details about who made the payment and what was the received amount. The report also adds up the cash amount and the check amount, which is extremely helpful in making bank deposit at the end of the day. You can also choose to print a displayed payment report for a day or a period on the printer by clicking on the “Print” button. If you are receiving payments from clients in your office, InsurancePro can be extremely helpful in managing such transactions. Whenever a payment is received, you should enter it in InsurancePro and issue an InsurancePro receipt to the customer. Then at the end of day, you can check the Daily Transaction Report’s payment summary to see exactly how much cash and checks you have received.

You also have the option to view payments based on the following options:

  • Received by a particular Agent (CSR)

  • Received for a particular Company

  • Received into specific Bank Account

  • Received at a particular location.

  • Payment Method

New Policies Report

InsurancePro can also summarize the new business your agency has accumulated. After setting the dates, simply click on the “New Policies” button, and you will get a detailed list of all the new insurance policies written in your agency for that period. The report will also summarize how much commission and agency fee you have earned from the listed new business. It is recommended that at the closing of each business day, you review the new business report to get an idea of how much new business you accumulated for the day. You can also choose to view the new business report for specific type of insurance policies and you can choose how to arrange the list. You can double click on a client’s name to view the client’s detailed information screen.

Batch Printing: When you click on the “Print” print button, first you will be prompted to choose the printer. After selecting the printer, InsurancePro will ask if you want to print “Thank you Letters” for each displayed new client. This option allows you to print a welcome letter for each of the listed client automatically, without having you to individually select each one and print the letter.

You can also print the same letter for any client from the Client Details Menu. After printing batch letters, the program will ask you if you want to print a summary report. You can get a print out of the displayed list by choosing yes.

Renewal Report

Renewal report is quite similar to the New Policies Report, other than the fact that it lists the renewal business, rather than the new business. You can choose the dates, or customize the view for a specific type of policy, or sort the list in a specific order. Then you can review the summary, or print out a hard copy. You can also collectively print thank you letters for each client in the renewal list, and also a summary by clicking on the print button.

Cancellation Report

Cancellation report generates a list of clients for the selected period whose policy was cancelled before the entire term was completed. This report is quite important as it shows the business you have lost. Again, letters can be printed for them collectively, or a summary report can be printed.

Expirations Report

Choosing the “Expiration” tab generates the Upcoming Renewal Report. This is one of the most important reports that an Insurance Agency needs. It basically lists all the policies that are going to expire between the selected dates. From here, the Agent has the option to print out a list to follow up with the clients to remind them about renewing their policy, or individual letters can be printed. Check Report

Check report will generate a list of all the checks you have written between the selected dates. This report is also customizable. You can choose to display the checks written for a particular account only. You can also double click on a check to view details or print out a list of the displayed checks.

Note: For non-admin users, these reports will show only their own transactions, and they will not be able to view other users transactions. Since checks are not associated with an agent, non-admin users will not be able to view the checks report. This option can be turned on or off from the system options menu.
