Customized Letters
InsurancePro
allows you to create completely customized letters as templates. These letters
can have policy fields within the document that will be automatically filled
with a customer’s information. This powerful tool allows you to generate
letters completely formatted for a particular customer with a single click!
These letters can be printed for one customer at a time, or you can select multiple
customers and print letters personally addressing each customer with a single
click.
To
create a new Letter template, click on “Create New Letter” from the Mail
Center. To edit a Letter template already stored in InsurancePro, click on
“Edit Existing Letter, and the program will display the list to choose from.

The
new letter template will come up with your Agency Information already formatted
as a Letterhead.
You
can then start typing in the text that you want in the Letter. To insert a
field from the InsurancePro policy database, choose a field from the “Insert
Auto Field” dropdown, and click on “Insert”. These are text in the letter
templates that will be replaced by a customer’s information when you print or
generate the letter. Any text within the angle brackets, “< >”, are
fields in InsurancePro that will be replaced with information about the client.
For example <Name> will be replaced with the client’s name when you
generate the letter. When you create the letter, this field will automatically
bring in the data from the customer file.
CSR
Signature Auto Field: You can now add the signature of the CSR who is
associated with a policy by inserting the "<AgentSig>" auto field. This is
done by choosing "Policy's CSR's Signature" from the "Insert Auto Field"
dropdown box.
After
completing the letter or after making changes to existing letter click on
“Save” from the top menu. InsurancePro will ask you to provide the description
of the letter and the physical file name. Click on “Save” after entering that
information.
Now
you can generate this letter for customers.

An example of how the completed letter looks:
Note: InsurancePro comes with 4 letters already
saved in it. They are:

New Business Letter (NewBusiness.rtf): A Thank you
letter for new clients.
·
Renewal Reminder Letter (Renewal.rtf): A letter to
remind client for upcoming renewal of their policy.
·
Reinstatement Notice (Renewed.rtf): Thank you letter
for renewing a policy.
·
Cancellation Notice (cancel.rtf): A letter informing
client of a policy that was cancelled.
You can edit/change these letters just like any other
letter.
