InsurancePro lets you keep track of the
policy by adding Notes. You can also add a reminder memo associated with a
particular client, for which InsurancePro will prompt you on the date you
specify. If the task is of critical nature, you can add it as a critical
reminder. Critical messages will be highlighted in red font, so that it
would be easier to notice them. Also, the program itself adds Notes to the
policy whenever there is a change made or a transaction is done for the
client. This provides an excellent way of reviewing all the actions taken on
the policy at a glance.

Adding new Note or Reminder:
To add a note or reminder for the policy,
click on “Add New Note”. Then type in the memo, choose the CSR click on
“Save”. If you are adding a reminder note, choose “Yes” for “Set Reminder?”
option. When you press the tab key, you will see the option to choose the
date on which you would like to be reminded.

Append to or
Editing Notes:
InsurancePro does not allow you to
change or delete a note once it has been added to the system. You can only
append to an existing note. You cannot add to notes that another CSR had put in, unless you are an Administrator.
Administrators are able to edit other CSR’s notes, and also able to add
notes by choosing any Agent. Once a note has been entered, it cannot be
deleted and also the date cannot be changed. It can only be appended to if the
permission is given.

Popup Note:
Checking a reminder/note as a pop-up would
cause the memo to pop up every time you pull up the client info or select
them in the Payments Screen. Once a note has been entered, you can easily
enable or disable it as a pop-up note by clicking on the checkbox in the
pop-up column.
Printing Notes:
You can also choose to print notes from
this screen. When you click on “Print Note”, InsurancePro gives you the
above option, from which you can choose to print all memos, or only the
selected memo.
Viewing due/pending Reminders:
When you have a follow up note that is
due, InsurancePro will flash a message in the Main Menu Screen: “You have
Reminders Pending”. You can click on that link, or click on “Reminders”
Button from the Main Menu. The screen will show you all Reminder Notes that
are due, and there are different options to manipulate them from that
screen.
Note that if the client has other policies
with your agency, even expired ones, the Notes for those other policies will
NOT show in this screen. You can choose “Other Policies” or select the other
policies from the “Find Client” screen to view the Notes/Reminders for those
policies. This is helpful and efficient, as you only see the current
information, associated only with this policy, and you do not have to search
through old and unrelated memos.
