Letters:

InsurancePro has the capability to
generate customizable letters that you can print out and mail to your
insured, insurance company, or others. InsurancePro automatically creates a
professional letterhead for your Insurance Agency for the letters that you
print. You can add ANY letter that you want in InsurancePro by
defining a template. To find out more about creating customized letters,

To generate a new letter for your client,
click on “Letters” from the Categories section. InsurancePro will give you a
list of different letters that you can generate in the “Available Forms”
list. You can either double click on the form that you would like to
generate, or single click and then click on “Select”. These letters include
customized letters that you created, and also a few letters included in
InsurancePro.
InsurancePro will pull up the letter,
already addressed to this particular customer. You can edit anything in this
letter. Notice the menu on the top right corner. You can choose to print the
letter once you are finished.

Once you are finished, you can click on
“Close” from the menu to exit out of the screen. But before you exit,
InsurancePro will ask if you want to save the letter. If you choose “Yes”,
InsurancePro will save the letter for you, with all the changes you made, so
that you can pull it up later.
The following Lists the Letters included
in InsurancePro:

Cancellation Notice –
Letter to inform the client that their policy has cancelled

New Business Letter – A
thank you letter to the client for becoming a new client of your agency

Renewal Reminder Letter –
A letter to remind the client of upcoming renewal
·
Reinstatement Notice – A
letter to the client, thanking them for renewing their policy
Mail Log:
InsurancePro also has a built in Mail Log
system, which tracks all the Letters you print from your Agency. You can use
this mail log manually, by entering each letter you mail, or set the option
to make an automatic entry in the mail log every time a CSR prints a letter.
The advantage is that you can easily look up all the letters your Agency has
printed and mailed in one location. For more information about the Mail Log

Note:
InsurancePro always
generates letters for a particular policy, therefore before you can generate
or print a letter, you MUST have the client’s information already stored in
InsurancePro. First you will have to look up the client’s policy details.
Once you are in the “Client Summary” screen, click on the button “Print
Forms/Letters”.
